Workflow Automation
Workflow automation connects the tools a business already uses so that an event in one triggers actions in the others without anyone re-typing data — a form submission creating a CRM record, a task and a confirmation email at once.
A workflow is deterministic: a trigger fires, then a fixed sequence of steps runs. Same input, same path, every time. That makes it cheap to run, fast, and straightforward to debug when it breaks — which is why most of what businesses call "AI automation" should actually be plain workflow automation with a model called at one or two steps.
The tools split into hosted platforms (Zapier, Make) and self-hosted ones (n8n). Hosted is faster to start and priced per task, which is fine at low volume and turns against you as volume grows. Self-hosted costs a server and some setup, then runs unlimited tasks.
The hard part is never the connecting. It's the exceptions — the duplicate record, the API timeout, the customer who fills the form twice. A workflow that handles the happy path and nothing else creates more work than it saves.
Why it matters
This is where the fastest payback in most businesses sits. Manual re-entry between two systems is measurable — count the minutes, multiply by the wage — and removing it usually pays for itself within weeks.
