Zapier if nobody on your team wants to think about servers and your volume is modest — the polish is real and it's worth paying for. n8n if your task volume makes per-task pricing painful, if you want your data staying on your own infrastructure, or if you need branching and code steps that a simpler builder resists. The honest catch with n8n is that self-hosting means somebody owns uptime, backups and upgrades — which is fine if that somebody exists, and expensive if you assumed it was nobody.

When Zapier is the better choice

  • Nobody on your team wants to be responsible for a server.
  • Your volume is low enough that per-task pricing genuinely doesn't matter.
  • You need an obscure integration — Zapier's app library is far larger.
  • Non-technical staff will be building and editing the automations themselves.
  • You'd rather pay more and never think about it again.

n8n vs Zapier — your questions answered

Is n8n actually cheaper?+
At volume, substantially — a flat server cost against per-task pricing. At low volume it can be more expensive, because you're paying for a server to sit mostly idle while Zapier's free tier would have covered you. The crossover depends entirely on your task count, so work it out before switching on principle.
Do I have to self-host n8n?+
No — they offer a cloud version, which removes the maintenance burden and most of the cost advantage. Self-hosting is where the economics get compelling, and it's also where somebody has to own uptime and backups.
Who maintains it if we self-host?+
Whoever you decide, and the answer must not be 'nobody'. We set up n8n with monitoring, automated backups and upgrade handling, and can maintain it on a retainer or hand it to your team fully documented. An unmaintained automation server is a quiet outage waiting to happen.
Which is better for AI steps?+
n8n, mostly on cost — it uses your own API keys, so you pay the model provider directly rather than a per-task premium. Zapier's AI steps are easier to set up and fine at low volume. If AI is central to your automations rather than incidental, the cost difference compounds quickly.
Can you build on either?+
Yes, and we genuinely don't mind which. We'll recommend based on your task volume, your team's technical comfort and whether your data needs to stay on your own infrastructure — not on which one is more work for us.
