When buying is clearly the right call

Build vs Buy — your questions answered

How do I decide between build and buy?+
Ask one question first: is this process standard, or is it how we win? Standard processes should be bought — you gain nothing from a bespoke payroll system. Processes that are genuinely yours, where the way you do it is part of why customers choose you, are worth building. Everything else comes down to arithmetic over three years.
Isn't custom software always more expensive?+
Upfront, yes, always. Over three years it depends entirely on seat count and how much the subscription rises. Per-seat SaaS at 15+ users frequently overtakes a one-time build inside two years. Below five users, buying usually stays cheaper and we'd tell you so.
What about maintenance on custom software?+
It's real and it's the thing people underestimate. Dependencies age, APIs change, requirements shift. Budget for it rather than pretending a build is a one-time cost — we include 30–90 days depending on tier, and after that fixes are quoted individually with no mandatory retainer.
Can we do both?+
Usually the right answer, in fact. Buy the standard pieces — accounting, email, CRM — and build the connective tissue and the parts specific to you. Most of what we build sits between tools our clients already pay for rather than replacing them.
What if we build it and our process changes?+
Then it gets edited, which is cheaper than it sounds if it was built to be edited. This is a real argument for buying when you're genuinely unsure about the process — build once you know what the process is, not while you're still discovering it.
